AP-IT Supported Computers - Standard Setup

AP-IT supported computers are desktop, laptop or network computers managed by AP-ITSS.

AP-IT’s policy is to follow best practices for administrating an enterprise environment.  This includes following UF's recommendations to standardize desktop and laptop models and purchasing from a single vendor. 

Network & File Access

  • AP-IT computers access internal UF networks when someone logs on using their GatorLink username and password.
  • All files should be stored on the network drives, either a Unit's shared drive or an individual's R: drive, rather than a computer's physical hard drive.  Only files on the network are backed up; files on local computers are not backed up.
  • Sensitive data should not be stored on a laptop.  If files with sensitive data will be temporarily saved on a laptop, the laptop must be encrypted.

Hardware & Peripherals

Standard Office Computer Hardware

One computer assigned per employee. The standard setup is:

  • UF Standard PC Bundle approved by UF’s CIO (Dell Optiplex 990)
    • Wired USB Keyboard
    • Wired USB Mouse
    • Speaker sound bar
  • Two 20” LCD monitors
  • Battery backup (which includes surge protection)

For employees who routinely need access to a computer in several locations - on and/or off campus - the Alternate Office Computer Setup will apply:

  • UF Standard Laptop Bundle approved by UF’s CIO (Dell Latitude E6520)
  • Docking station solution – Dell E-Port Plus (designed for E-series Latitude laptops)
    • Wired USB Keyboard (to plug into the E-Port Plus)
    • Wired USB Mouse (to plug into the E-Port Plus)
    • Speaker sound bar
  • Two 20” LCD monitors
  • Battery backup (which includes surge protection)
  • The use of the UF VPN Service (using the Cisco Anyconnect Client) to connect to resources while off campus

If someone infrequently travels, it is suggested that they borrow one of AP-IT's checkout laptops as needed.  If a unit has multiple employees who infrequently travel, then the unit should consider buying a laptop that can be shared between those employees, using an AP-IT checkout laptop when there are overlapping needs. 

Exceptions to this include:

  • Provost or Associate Provosts that prefer both a deskop and a laptop
  • Individuals which perform job-related duties requiring higher powered machines (ex: running reports from millions of lines of data, intensive video and digitial image editing, full-time programming, etc.)
  • other specific requirements of an individual's official duties

Note:  At this time, we do not have a backend infrastructure in place to fully support Apple desktop and laptop systems from a security, patch management and software deployment perspective.  Therefore, Macs purchased by individual units will not be managed by AP-IT.

Printers & Scanners

AP-IT follows UF IT's preferred policy of using networked (centrally available) printers rather than a printer on each desktop.

  • access to a networked black & white printer
  • access to a networked color printer/scanner/fax machine

Exceptions to this include employees who:

  • are in Provost or Associate Provost positions
  • can not leave their desks due to physical challenges or job responsibilities,
  • print private or protected data that must not be viewed by other employees in the same office, 
  • are located in geographically dispersed offices that can not easily access a central printer.

Software & Operating Systems

Standard Software

The standard software (build) installed on desktop and laptop computers includes:

Microsoft Products

  • Internet Explorer 8 (web browser)
  • Office 2007 (Word, Access, Excel, PowerPoint, ...)
  • Office Communicator (audio/video conferencing)
  • Outlook 2007 (email)
  • Windows 7 Enterprise 64 bit (operating system)

Other Software Companies

  • McAfee VirusScan Enterprise (antivirus software)
  • Adobe Acrobat Reader (PDF reader)
  • Java
  • Flash

Additional Software

Given the wide variety of work performed by units supported by ITSS, a range of additional software may be needed by specific user groups or individual employees.  Units may request the installation of this software, provided that the appropriate licensing fees have been paid. 

In the interests of security and network stability, AP-IT reserves the right to deny the installation of software that is not supported by a known company or entity. More on Additional Software >>
